The role:
The Accounts & Procurement Coordinator keeps purchasing, billing, and stock processes running accurately and efficiently across the business. You’ll support day-to-day finance and procurement operations, ensuring customer billing is completed on time, purchase and sales orders are processed correctly, and inventory records remain accurate.
Responsibilities:
- Billing and invoicing: Process customer billing accurately in SiteHive systems, ensuring invoices are raised correctly and on schedule. Review billing information for completeness and flag inconsistencies before invoices are issued.
- Accounts receivable support: Respond to accounts receivable queries from customers and internal stakeholders in a timely and professional manner. Investigate discrepancies, follow up information, and escalate unresolved issues where required.
- Purchase order processing: Create and maintain purchase orders in our ERP System, ensuring purchasing records remain accurate and aligned with operational requirements.
- Procurement and purchasing: Coordinate purchasing activities across the business, including sourcing components, placing supplier orders, monitoring delivery timelines, and following up overdue or incomplete orders.
- Sales order processing: Create and manage sales orders in our ERP, ensuring all order details, pricing, quantities, and customer information are accurate before processing.
- Stocktake processing: Own the stocktake processing, reconcile discrepancies, and flag variances requiring recounts or further investigation.
- Inventory and system accuracy: Maintain accurate records across procurement, inventory, and billing systems. Support ongoing process improvement and ensure documentation is completed consistently.
How success is measured:
- Billing accuracy: invoices processed accurately and on time with minimal rework required
- Order accuracy: sales orders and purchase orders entered correctly and maintained without errors
- Query resolution: accounts receivable queries responded to promptly and resolved efficiently
- Stock accuracy: stocktake variances identified, processed, and escalated appropriately
- Procurement efficiency: supplier orders placed and tracked without unnecessary delays
- System reliability: procurement, inventory, and billing records consistently accurate and up to date
What we’re looking for:
- 2+ years of experience in accounts administration, procurement, inventory coordination, or a similar operational support role
- Prior experience using ERP/ inventory management software (Unleashed is a bonus but not essential)
- Exposure to procurement or inventory reconciliation processes
- Strong attention to detail and accuracy across data entry and processing tasks
- Organised and process-driven, with the ability to manage competing priorities
- Comfortable communicating with suppliers, customers, and internal stakeholders
- Proactive and reliable, with a willingness to follow through and resolve issues
- Comfortable working onsite 5 days per week as part of a collaborative team
