SurplusLoop is a new startup born out of Antler’s Venture Capital Accelerator Program in April 2024. After securing pre-seed investment from Antler in June 2024, we were officially incorporated on 3 July 2024 and successfully commercialized in September 2024. With operations kicking off in January 2025, SurplusLoop is poised for rapid growth and creating impact in the surplus management space. As Corporate Functions Executive, you’ll be the engine room powering our strategy, finance, HR, and compliance backbone. You’ll work directly with the CEO to bring order to chaos, ensure smooth operations, and keep us future-ready as we grow. This is the perfect launchpad for a self-starter who wants to master the inner workings of a startup while contributing to a mission that matters.

JOB DESCRIPTION

  1. Strategy & Planning

  • Support annual and quarterly planning cycles, aligning team goals with company OKRs.
  • Track strategic initiatives, follow up on deliverables, and maintain momentum across functions.
  • Assist in identifying and applying for government grants, innovation funds, and ESG incentives.
  • Research and prepare submissions for startup and tech innovation awards.
  • Support the CEO in venture capital fundraising activities—preparing pitch decks, investor documents, and managing the data room.
  • Conduct market and competitor research to support strategic decisions.
  • Assist in creating pitch materials and impact reports for internal and external stakeholders.

  1. Finance Operations

  • Manage full set of account bookkeeping, bank reconciliation, invoicing, and payment cycles independently with minimum supervision.
  • Prepare daily, weekly, monthly, quarterly and annual reporting for internal and external submission.
  • Assist in budget creation, cash flow forecasting, and financial planning activities
  • Maintain real-time dashboards to track revenue, burn rate, runway, and financial KPIs.
  • Manage treasury functions including cash flow monitoring, fund allocation, and liquidity planning.
  • Strategically place idle cash into low-risk, short-term instruments (e.g. money market funds) to optimize returns while preserving liquidity.
  • Administer payment cycles, payroll processing, and statutory filings (EPF, SOCSO, EIS, SST).
  • Support investor reporting, board packs, and financial documentation for fundraising and due diligence.
  • Ensure compliance with internal controls and startup finance best practices.
  • Liaise with auditors, tax agents, banks, and regulatory bodies as needed.

  1. Human Resources

  • Manage full-cycle recruitment including JD creation, sourcing, screening, and scheduling interviews.
  • Coordinate onboarding process for new hires including contract preparation, orientation, and systems access.
  • Maintain and organize employee records, HR documentation, and digital filing systems.
  • Develop and implement basic HR policies, SOPs, and employee handbooks tailored to startup culture.
  • Manage leave tracking, benefits administration, and employee welfare programs.
  • Coordinate performance review cycles and support personal development tracking.
  • Organize team engagement activities, town halls, and feedback loops to strengthen culture, including internal communications.
  • Ensure compliance with Malaysian employment laws, labour regulations, and statutory filings.
  • Collaborate with leadership to support organizational design and future workforce planning.

  1. Legal & Compliance

  • Maintain company records, board resolutions, contracts, and regulatory filings.
  • Ensure compliance with Malaysian laws (SSM, LHDN, EPF, etc.) and key operational policies.
  • Coordinate with legal counsel and company secretary on key filings and shareholder updates.
  • Manage NDAs, seller/buyer/supplier agreements, and legal templates across functions.

  1. Admin & Company Secretary Support

  • Manage day-to-day administrative operations including scheduling, procurement, and vendor coordination.
  • Support office logistics, asset management, and workspace setup (physical and virtual).
  • Coordinate office renovation or setup projects, including layout planning, vendor sourcing, budgeting, and on-site supervision.
  • Maintain digital and physical filing systems for company documents and compliance.
  • Assist in preparation and filing of board documentation, shareholder resolutions, and statutory records.
  • Liaise with external company secretary to ensure timely submissions and compliance with regulatory requirements.
  • Organize logistics for internal meetings, offsites, team events, and leadership reviews.

JOB REQUIREMENTS

We’re looking for a sharp, organized, and proactive operator who thrives in a high-ownership startup environment.

  • Bachelor’s Degree in Accountancy or equivalent is a must.
  • Fluency in English, Malay, and Chinese is a must.
  • 2–4 years of experience in corporate ops, finance, HR, or startup admin roles.
  • Strong understanding of operational best practices in finance, HR, and compliance.
  • Proficiency with Microsoft Office and Google Workspace, and accounting tools like Xero.
  • Strong verbal and written communication skills.
  • Able to juggle multiple priorities and bring clarity to chaos.
  • Familiarity with investor relations, grants, or VC processes.
  • A true self-starter who takes initiative and doesn’t wait to be told what to do.
  • A go-getter mindset—you chase results, not tasks, and you close what you start.
  • Passionate about reverse commerce, sustainability, and the circular economy.
  • Strong belief in big visions and the ability to sell the dream while building it.
  • High emotional intelligence + persuasive communicator in both verbal and written form.
  • Highly organized and structured, with the ability to bring clarity to chaos.
  • Agile and adaptive—you love change, embrace uncertainty, and know when to pivot.
  • Data-driven decision-maker, but not paralyzed by perfection—you move fast.
  • Familiarity with platform or marketplace models is a bonus.
